Meeting Minutes
July
10 , 2002
Vestry
members present: Ann Homer Cook, Senior Warden; Stuart Burgess,
Junior Warden; Linda Ross Aldy; Al Doty; Suzanne Files; Oscar Hartman;
Don Long; and David Wilson.
Others
present: David Christian, Priest-in-Charge; Trace Swartzfager,
Treasurer; and Jeannine Barrett, Clerk.
David
Christian opened the meeting with prayers and Bible study.
Ann
Homer Cook presided over the meeting.
Ann
Homer Cook gave an update of the status of the budget, which is
currently $64,000 short and which has been handled by using reserve
funds. If the budget continues as it, it will be an additional $40,000
short by the end of the year. As of July, some reserve funds have
been utilized. The Budget Committee met but is not making a recommendation
at this time as to how to resolve the budget shortage. There is
a total of approximately $170,000 in the various reserve funds.
Options
that might help the budget situation were presented and discussed,
including: 1) asking the Committes to make voluntary cuts to their
budgets, and 2) using reserve funds. After discussion of the options
mentioned, it was decided that Trace Swartzfager should get the
actual figures for the budget to the Vestry, which will analyze
and make suggestions for areas that might be cut, present that information
to the Committee Chairs and ask for their recommendations regarding
streamlining their budgets. Once that has been done, the Vestry
will meet again to make changes to the budget. A date for this first
meeting for the Vestry was scheduled for Sunday, July 14, 2002 at
12:30.
Approval
of Minutes. Approval of the minutes was postponed.
Treasurer's
Report. The Operating Budget vs. Actual for January through
June, 2002 was distributed and discussed. The Treasurer's Report
was accepted as presented.
BUSINESS
Approval
of Applications of BIll Fanning and Annetta Allred to become Diocesan
Lay Readers. The applications for lay readers must be approved
by the Vestry. Bill Fanning and Annetta Allred have submitted applications
to become lay readers. Linda Ross Aldy made a motion that the applications
of Bill Fanning and Annetta Allred to become lay readers be accepted.
Don Long seconded the motion and it passed unanimously.
Election
of Annual Council Delegates. Ann Homer Cook announced that it
is time to elect delegates for the 2003 annual council. The requirements
are that the delegates be at least 18 years old and communicants
of the parish. The dates for the 2003 council are January 31 through
February 2. There should be three delegates and up to three alternates
elected. Names of persons who have expressed an interest in serving
were mentioned, including: Larry Stroud, Frances Christian, Gibson
Sims, Oscar Hartman, Annetta Allred, and Ann Homer Cook, who will
already be at the Annual Council in order to be commissioned. Al
Doty made a motion that the following persons be elected as representatives
at the 2003 Annual Council: Frances Christian, Larry Stroud and
Oscar Hartman as delegates; and Annetta Allred, Gibson Sims and
Ann Homer Cook as alternates. Suzanne Files seconded the motion
and it passed unanimously.
Reports
were given on the following items of information:
- Charles
Warwick faxed in a report from the Long Range Planning Committee
regarding the parking situation. At this point, the Committee
is not able to make a recommendation.
- David
Wilson distributed a handout and presented information about a
weak spot in the Chapel floor. The problem has been analyzed and
David Wilson has located a contractor who will perform the necessary
repairs at cost.
- Ann
Homer Cook reported that efforts are continuing to get the cemetery
deeds in order. Don Long and Judy Barnes have been working to
get the deeds accurate. It was pointed out that a policy regarding
guidelines for the cemetery should be finalized.
- David
Christian reminded everyone that the Golf Tournament will be this
Saturday. Sanford Thomas will be cooking out at the Chapel afterwards
and there will be a silent auction.
- David
Christian reported that Nat Duncan will begin working as the Youth
Minister on Monday, July 15, 2002. David Christian reported that
approximately 90% of the leaders for Rite 13, J2A and YAK are
in place.
- The
taking of family pictures for the pictorial directory is continuing.
- The
Search Committee is working on writing the Parish Profile from
the results of the questionnaires submitted by the Parish.
- Al
Doty reported that the work of the Organ Committee is almost done.
There will need to be one more meeting with John Paul regarding
revoicing the organ.
Don
Long was thanked for his work on the Tree of Life project.
Oscar
Hartman made a motion that the meeting be adjourned. Linda Ross
Aldy seconded the motion and it passed unanimously.
The
meeting was adjourned with prayer at 7:45 p.m.
