Vestry Meeting Minutes

Vestry Meeting
August 14, 2002

Vestry members present: Ann Homer Cook, Senior Warden; Linda Ross Aldy; Al Doty; Suzanne Files; Don Long; Brooks Mosley; and Cathy Stroud.

Others present: David Christian, Priest-in-Charge; Dale Marcum, Bookkeeper; and Jeannine Barrett, Clerk.

David Christian opened the meeting with prayers and Bible study.

David Christian presided over the meeting.

Approval of Minutes. Approval of the July minutes, as well as the minutes of the two special meetings regarding the budget, were approved as submitted.

BUSINESS:
Cursillo. Ralph and Lynn Stillions, who are Co-Rectors of the Chapel of the Cross Ultreya, gave a presentation about Cursillo and upcoming Cursillo events. The Stillions asked for the Vestry's support and participation and they distributed packets of information regarding Cursillo.

Financial Report and 2002 Budget Adjustments. The Chapel operating budget for 2002 initially projected a deficit of $108,000. As the year progressed, it became apparent that the actual income - made up of pledges, no-pledge contributions, and plate offerings - was indeed failing to keep pace with expenditures. The Vestry met with Committee Chairs on July 28 to look at ways budget expenditures could be cut, but without harming Chapel ministries. As of July 31, the actual shortfall was $61,459, which was covered using cash reserves. The reports on the Operating Budget vs. Actual, January through July, 2002, along with the proposed Mid-Year 2002 Operating Budget Revisions were distributed and discussed. The proposed revisions would allow the budget to be essentially break-even for the rest of the year. Brooks Mosley made a motion to approve the proposed budget of $613,195 as presented. Suzanne Files seconded the motion and, after further discussion, it passed unanimously.

Al Doty reported that Irene Crowder, Chairperson of the Flower Guild, in an effort to reduce expenses, has asked members of the Guild to think of more economical ways to decorate. Irene Crowder has also requested that the flower fee for weddings be increased and that a flower fee for funerals be set. After discussion, Brooks Mosley made a motion that, effective August 15, 2002, except for the weddings which have already been scheduled and which will have the $300 flower fee, the wedding flower fee be increased to $500 and that a $100 flower fee for funerals be set. Don Long seconded the motion and it passed unanimously.

Cemetery Fund. It was reported that, in response to questions raised, the covenants which established the cemetery have been reviewed and that funds collected for selling cemetery plots and opening graves are to be used strictly for the cemetery, which may include landscaping of the Chapel grounds. Don Long reported that letters are being sent to persons who have reserved plots requesting that they go ahead and pay for the plots.

Robert Pooley has agreed to chair the stewardship campaign in the fall. Cathy Stroud raised a question regarding the process by which the decision is made regarding distribution of the Day in the Country proceeds and suggesting the possibility of retaining a higher percentage of this year's funds for the Parish. In response to that question, it was reported that the Servant Ministry Committee makes a recommendation as to an outside contribution, after which the Vestry reviews the recommendation and makes the final decision regarding Day in the Country proceeds. David Christian suggested that the Christian Service Commission should meet and bring a recommendation regarding this year's outside contribution to the Vestry at the next meeting.

Suzanne Files reported that the Evangalism Committee met the previous Monday night. One of the suggestions made at that meeting was that a "buddy" be assigned to persons to help them know about things that are going on and to assist them in various ways. Suzanne volunteered the Vestry members as buddies. It was suggested at that meeting that another listening session be conducted and pointed out that some people still feel they are not being informed regarding what is going on at the Chapel.

Ann Homer Cook reported that Charles Warwick has submitted a letter on behalf of the Long Range Planning Committee advising that Phase II of the project, which includes parking, has been completed. The Committee feels that further work on the project should be delayed until at least three months after the new Rector begins. It was pointed out that the Parish is under no obligation to do Phase III of the project.

Linda Ross Aldy made a motion that the meeting be adjourned. Al Doty seconded the motion and the meeting was adjourned at 8:20 with prayer.
