Vestry Meeting Minutes

September 17, 2003

Vestry members present: Oscar Hartman, Senior Warden; Scott Carter, Junior Warden; Linda Aldy; Al Doty; Bill Fanning; Suzanne Files

Others present: Judy Barnes, Clerk; David Christian, Priest in Charge; Steve Downs, Treasurer; Barbara McDonald, Youth Formation Committee Chairman

Oscar Hartman presided over the meeting.

The meeting was opened with a meditation by David Christian.

BUSINESS:

Approval of Minutes. Linda Aldy made the motion to approve the August minutes as written. Scott Carter seconded the motion and the motion carried unanimously.

Commission Reports.

Al Doty reported on the activities of the Christian Growth Commission and introduced Barbara McDonald, who gave a report from the Youth Formation Committee. They have defined three primary issues for study: 1) A job description for Nat Duncan, Youth Ministries Coordinator; 2) Age grouping for Rite 13 and J2A; 3) Funding--youth budget procedures and 2003 trip deficits. She also said there will be a parents' ministry beginning soon.

Al said that Sunday School classes have started again and that Ruby Medlin was concerned about having enough teachers. He and Oscar will be assisting with the sixth grade class. The start of Catechesis of the Good Shepherd has been postponed for a few weeks. He said the youth program is going strong, there are two adult classes on Sunday mornings, the fall acolyte training has occurred and the choir has begun to work on Christmas music. He said Dorothy King would be looking into the choir chair project. Al reported that on the night of the Luau there was a problem with kids playing in the nurseries and classrooms. Scott Carter is arranging for locks to be installed to secure the rooms when they are not in use. Al also reported Children's Church is struggling with scheduled leaders not showing up.

Suzanne Files reported on the activities of the Christian Service Commission. She said the Servant Ministry Committee is meeting on Saturday. Pastoral Care communications need some improvements. Suzanne and David Christian will discuss some possible solutions. She said Wednesday Night Suppers are going well.

Linda Aldy reported on the activities of the Christian Stewardship Commission. She reported that Robert Pooley and the Stewardship Committee have been meeting. There is a work day scheduled for this Saturday. Linda is working with a committee to develop employee job descriptions and policies. The youth rooms project has progressed well and the Luau raised about $15,000 to offset money already spent on the project. Youth groups are already using the rooms and Nat has asked that flooring be installed as soon as possible.

Treasurer's Report. Steve Downs presented the financials for the year through August. Oscar Hartman noted pledge statements through August and a vestry update will be mailed out to the parish in a few days.

OTHER BUSINESS:

Oscar reported he had received Sherry Mosley's resignation from the vestry and that it required a formal acceptance. Al Doty made a motion to accept her resignation with regret, which was seconded by Linda Aldy. The motion carried unanimously. Oscar will write her a letter accepting her resignation and expressing the regrets of the vestry.

Oscar reported that there are several 'memorial funds' totaling $17,900. Since the vestry has the discretion of how these funds are spent, they could be applied to the youth rooms project. After discussion, Linda Aldy made the motion to apply all the memorial fund balances to the Education Building Project, with acknowledgments to the families. The motion was seconded by Bill Fanning and passed unanimously. Plaques listing the memorial funds may be installed at a future date. Page 2 of 2 Oscar reported Chapel of the Cross golf tournaments have raised around $5000, designated for youth activities. Bill Fanning made the motion to apply the golf tournament proceeds to the Education Building Project. It was seconded by Linda Aldy and carried unanimously.

Al Doty made the motion to use up to $35,000 from Operating Fund for Building Fund payment due October 10. Suzanne Files seconded the motion and it passed unanimously.

Selection of delegates and alternates to Annual Council in February was discussed. Several members had expressed willingness to serve: Linda Aldy, Suzanne Files and Sandy Stater as delegates; Frances Christian, Oscar Hartman and Larry Stroud as alternates. Al Doty made the motion to accept this slate of delegates and alternates; Bill Fanning seconded the motion, which carried unanimously.

Al Doty reported the Search Committee has looked at several very good candidates for rector and has been making visits.

The next vestry meeting is scheduled for Wednesday, October 15 at 6:30 p.m. Linda Aldy made a motion to adjourn the meeting, which was seconded by Suzanne Files and approved unanimously.

The meeting closed with prayer.
